Job Description
- Composes English/Arabic correspondence, memos, various reports, records, requisitions etc. by transcribing, formatting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Conserves Executive's(s) (GM, Head of Division, AGM etc.) time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications; all while updating the Executive(s) on all action taken.
- Maintains Executive's(s) appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
-Performs duties, if asked, related to personal correspondence, bank expenses, bills, daily diary for the Executive(s).
- Welcomes guests and customers of the Division by greeting them, in person or on the telephone; answering or directing inquiries.
- Preserves office flow and efficiency by coordinating leave schedules/replacements of leave/absentees in the Division, travel itineraries (schedules, reservations & hotel accommodations), filing & handling petty cash for the Division, as well as maintaining records of all invoices and creating an annual report for the Financial Controls Division.
-Maintains office supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; and verifying receipt of supplies.
-Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; and maintaining equipment inventories.
